- Intro AVVie is an exciting early stage medical device company with an
innovative, minimally invasive technology for the treatment of mitral
valve disease. If you are interested in joining a young and
international start-up active in medical technology in Vienna. Tasks
Primary responsibility is to manage and optimize office and
administrative operations to support the efficiency and growth of our
dynamic start-up environment in Vienna. Perform general office
management tasks, such as coordinating meetings, managing office
emails, handling deliveries, and ordering office supplies. Organize
business travel, including flight, hotel, and car rental reservations.
Identify opportunities for process improvements in office management
and implement new processes where needed. Maintain financial records,
track expenses, process invoices, and assist with budget planning.
Support HR operations, including employee onboarding, record-keeping,
and personnel file management. Assist with recruitment tasks, such as
scheduling interviews and managing candidate documentation. Ensure
compliance with internal policies, ISO 13485 standards, and other
regulatory requirements. Coordinate and support internal and external
company events. Publish news updates on platforms such as LinkedIn or
the company website. Collaborate with the leadership team to support
operational and administrative projects. Perform other duties as
assigned by the direct supervisor. Requirements 2+ years of experience
in an administrative or office management role, preferably in a
start-up environment. Strong organizational and time management
skills, with the ability to multitask and prioritize. Excellent
communication and interpersonal skills. Experience working in
fast-paced, multicultural environments. Familiarity with basic
accounting principles and financial record-keeping. Fluent in English;
German proficiency is a plus. Proficient in Microsoft Office Suite
(Word, Excel, PowerPoint, Outlook). A positive, resilient attitude
with a proactive approach to problem-solving. Ability to maintain
confidentiality and handle sensitive information with discretion.
Comfortable building and aligning processes in a dynamic and growing
organization.
